HR Talk

A private, friendly place to ask HR anything

HR Talk is an internal platform where employees chat with HR to clarify doubts, get help with policies, discuss growth plans and resolve concerns. The interface is confidential and friendly, so people feel safe asking. I designed the product’s flows and interface.

01The problem

What needed solving

Employees often hold back questions about policies, growth or concerns because email feels formal and walking up to HR feels exposed. HR, in turn, answers the same policy questions many times across scattered channels. The platform had to feel safe enough to use and organised enough for HR to manage.

Who it’s for

  • Employees

Ask HR questions and raise concerns in a private, easy way.

  • New joiners

Get quick answers on policies while they settle in.

  • HR team

Keep every conversation in one place, sorted by topic and status.

02The main flow

From question to resolution

The moment in blue is the one the whole design is built around.
  1. 01

    Pick a topic

  2. 02

    Check policy answers

  3. 03

    Start a private chat

  4. 04

    HR responds

  5. 05

    Mark as resolved

03Structure

How HR Talk is organised

Everything has one home. Getting this right first keeps every screen simpler.

04Key decisions

Choices that shaped it

What I considered, what I chose, and why.

Decision 01

Topic first, then chat

An open chat box gives HR no context and leaves employees unsure how to start.

Considered

A single blank chat window, like a generic messenger.

Chosen

Employees pick a topic first: doubt, policy, growth or concern. The chat then opens with a short prompt and relevant policy answers.

Why it works

The topic routes the conversation to the right person and sets the tone. Some questions end with a policy answer, no chat needed.

Decision 02

Confidentiality shown, not promised

People only raise sensitive concerns if they believe the conversation is private.

Considered

A general privacy note in the footer or on a settings page.

Chosen

Each conversation shows who can see it, and concerns carry a distinct confidential label with restricted access.

Why it works

Seeing the privacy rule at the moment of writing does more than a policy page. It makes the safe option the obvious one.

Decision 03

Friendly for employees, structured for HR

HR tools often look like ticket systems, which makes personal topics feel like support requests.

Considered

Ticket numbers, priorities and service labels in the employee view.

Chosen

Employees see a chat with names, plain language and simple statuses like Open and Resolved, while HR keeps a structured inbox on its side.

Why it works

Each side gets what it needs. Employees feel heard, and HR still works from an organised list.

05What’s inside

06Outcome

What was delivered

Delivered

  • Flows for asking, chatting and resolving across doubts, policies, growth and concerns
  • UI design for the employee home, chat, policy search and HR inbox
  • Privacy and confidentiality states for sensitive conversations
  • A warm visual style and copy tone for an internal tool
  • Components and states ready for development

What I learned

  1. 01

In HR tools, trust is a design problem before it is a feature.

  2. 02

Two audiences can share one system if each gets its own view of it.
